Job Description:
- The Administrative Assistant position described in this job summary is assigned to Plant Gaston.
Responsibilities include general administrative support including, but not limited to the following:
- Provide support to numerous departments, including superior customer services to all internal and external customers.
- Perform timekeeping and attendance reports.
- Process employee expense reports for covered and non-covered personnel (PaySource & Oracle Expenses).
- Maintain document filing and retention, office supplies and department housekeeping.
- Coordinate travel arrangements if needed, as well as schedule and coordinate logistics for meetings.
- Gather data, compile information, and prepare reports.
- Support all plant and department Safety initiatives.
- Maintain Southern Linc and Harris Rado devices for plant personnel including set up, troubleshooting and replacements.
- Responsible for contacting vendor regarding copier/printer repairs, if needed.
- Prepare and maintain yearly boot allowance for covered employees.
- Update ARCOS to reflect vacation, time off, to update call out list weekly, prepare/distribute quarterly and yearly reports.
- Maintain monthly fuel accounting for Limestone, Gypsum, Bottom and Pond Ash and process entries in COMTRAC for monthly closeout.
- Order flowers for sickness or bereavement for departmental time groups.
- FMLA contact for departmental time groups.
- Verify on-site contractor timesheets by using Tableau and verifying backup documentation.
- Backup Administrative Assistants in other departments, when needed.
Job Experience & Education:
- High school diploma or equivalent is required.
- Two-year degree or vocational school/certification is preferred.
- Three to Five years administrative experience required.
- Extensive experience in administrative support including conference, travel and meeting arrangements, report preparation and calendar management is required.
- Accounts Payable and timekeeping experience preferred.
- Experience working with union employees in a plant environment is preferred.
- Extensive computer experience with proficiency in Microsoft Office applications is required.
