Job Description:

  • Administrative Assistant – Early Career Talent Office (Technology Organization) About the Role We’re looking for a highly motivated Administrative Assistant to join our Early Career Talent Office in the Technology Organization. 
  • This is a dynamic role that combines executive support, event planning, vendor coordination, and communications to help us deliver programs that shape the future of our workforce.

What You’ll Do:

  • Manage calendars, travel, and expense tracking. 
  • Create and proof executive-level PowerPoint presentations and professional communications for senior officers. 
  • Plan and coordinate events— including lodging, catering, transportation, and meeting space. 
  • Interface with vendors to secure proposals and manage services. 
  • Partner with HR to support recruiting, onboarding, and compliance processes. 
  • Support campus recruiting events at local universities. 
  • Create and manage program social media content and maintain departmental SharePoint. 
  • Track documentation, volunteer information, meeting minutes, and action items. 
  • Develop surveys, gather feedback, and help track/report program KPIs. 
  • Handle confidential intern and program data with professionalism and discretion. 

What We’re Looking For:

  • Proven experience supporting leaders at multiple levels. 
  • Strong Microsoft Office skills with advanced PowerPoint expertise. 
  • Event planning experience, including vendor coordination and logistics. 
  • Excellent communication skills— verbal, written, and presentation. 
  • Strong organizational abilities with high attention to detail. 
  • Proactive problem-solver with sound business judgment. 
  • Comfortable interacting with interns, managers, executives, and external partners. 
  • Professional presence and a heart for serving early career talent.

  • 3-5 Years The Administrative Assistant will perform administrative and office support activities for multiple professionals, including managers, managing directors, and partners. 
  • The role will also include fielding telephone calls, receiving and directing visitors, filing, scanning, copying, and placing meal orders. 
  • Strong calendar management, making travel arrangements, using various software, including word processing spreadsheets, databases, and presentation software, reading, analyzing, and proofing documents, emails, presentations, etc. needs the ability to learn tasks quickly, pay attention to detail, and keep up with a fast- paced working environment. 
  • Ability to organize a daily workload by priorities must be able to meet deadlines in a fast-paced, rapidly changing environment. 
  • A proactive problem-solving approach is required, as well as strong decision-making abilities and professional-level verbal and written communication skills.
