Job Description:

  • The Administrative Assistant will provide comprehensive administrative and office support to multiple professionals, including managers, managing directors, and partners. 
  • The ideal candidate will be highly organized, detail-oriented, proactive, and able to work effectively in a fast-paced and rapidly changing environment.

Key Responsibilities:

  • Provide administrative and office support to multiple professionals, including managers, managing directors, and partners.
  • Answer and direct telephone calls and professionally greet and assist visitors.
  • Manage filing, scanning, copying, and other general office administrative activities.
  • Coordinate and place meal orders as needed.
  • Manage calendars, schedules, and appointments effectively.
  • Make domestic and international travel arrangements, as required.
  • Prepare, format, review, and proofread documents, emails, presentations, and other business materials.
  • Utilize various software applications, including word processing, spreadsheets, databases, and presentation software.
  • Organize daily workloads based on priorities and ensure tasks are completed within established deadlines.
  • Quickly learn new tasks, processes, and software applications.
  • Maintain a high level of accuracy and attention to detail in all administrative activities.
  • Proactively identify issues and develop effective solutions.
  • Exercise sound judgment and strong decision-making skills when handling administrative matters.
  • Adapt effectively to changing priorities and a fast-paced work environment.

Required Qualifications & Skills:

  • 3–5 years of administrative or office support experience.
  • Strong calendar and schedule management skills.
  • Experience coordinating travel arrangements.
  • Proficiency with word processing, spreadsheets, databases, and presentation software.
  • Strong document review, proofreading, and editing skills.
  • Excellent verbal and written communication skills.
  • Strong organizational and time-management abilities.
  • Exceptional attention to detail and accuracy.
  • Ability to prioritize and manage multiple tasks simultaneously.
  • Ability to learn new tasks and processes quickly.
  • Proactive problem-solving approach with strong decision-making abilities.
  • Ability to meet deadlines while working in a fast-paced, rapidly changing environment.
  • Professional demeanor and strong interpersonal skills.
