Job Description:

  • The Document Specialist is a vital contributor to the department’s compliance systems, ensuring that documentation processes are efficient, compliant, and aligned with the overall business objectives.
  • This position is responsible for overseeing document version control, ensuring that all documents are current, accurate, and easily accessible.
  • The Document Specialist will review production records meticulously to maintain compliance with industry standards and internal policies.
  • This position also focuses on improving workflows and enhancing communication among stakeholders to ensure efficient document management and operational effectiveness.
  • Strong organizational skills and attention to detail are essential for maintaining high-quality standards in all documentation processes.

KEY RESPONSIBILITIES:

  • Document Version Control: Maintain and manage the lifecycle of documents to ensure that the most current versions are accessible, while tracking changes and revisions to prevent errors and maintain compliance.
  • Production Records Review: Conduct thorough reviews of production records to ensure accuracy and compliance with industry standards and internal policies, identifying discrepancies and facilitating corrective actions as needed. This will be measured by ‘On Time’ release KPI.
  • Compiling KPI Data: Gather and analyze Key Performance Indicator (KPI) data related to document compliance and record review to provide insights into operational performance, enabling informed decision-making and supporting strategic objectives.
  • Improving Existing Workflows: Identify opportunities for process improvement within document management and related workflows, implementing best practices to enhance efficiency and productivity. This will require balancing the simplification of processes with minimum statutory requirements by certifying organizations to comply with ISO 22000.
  • Enhancing Communications Between Relevant Stakeholders: Foster effective communication among stakeholders by facilitating information sharing and collaboration, ensuring that all parties are informed and aligned on document-related processes and updates.

Required Skills and Qualifications:
Documentation Review:

  • Reviewing completed records and batch sheets and working with other departments and communicate internally and externally effectively.
  • Performing activities associated with disposition of product (e.g. document review, shipping), activities may be on the floor or at a desk
  • Reviewing, editing, or approving controlled documents

Time Management:

  • Can prioritize multiple assignments and changing priorities
  • Can learn and utilize computerized systems for daily performance of tasks

Communication:

  • Excellent written and verbal communication skills.
  • Strong presentation skills and the ability to communicate in English to diverse audiences.

Software Proficiency:

  • Proficiency in MS Office suite (Word, Excel, PowerPoint, Outlook)
  • Knowledge of PowerBI, is a plus

Preferred Qualifications:

  • Experience with management of controlled documents in a regulated environment
  • Ability to work to defined timelines and manage own time effectively
  • Experience in the food and beverage industry, particularly in R&D and pilot plant environments.
  • High School Diploma plus 3 years’ experience in industry
  • BS Degree or equivalent is not required for this role

EXPERIENCE

  • 3 Years hands on experience with Production Records Review
  • May substitute proven experience for education requirement. Level is determined based on qualifications relevant to the role.

EDUCATION & QUALIFICATIONS
Minimum Qualifications:

  • Experience in the food and beverage industry, particularly in R&D and pilot plant environments.
  • Ability to work to defined timelines and manage own time effectively
  • Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Computer Literacy
