Job Description:
Schedule Notes:
- Work Location o Onsite/Remote/Hybrid: Onsite with flex.
- Time Zone Requirements: PST.
- Work Schedule: Standard working schedule.
- Contract Duration: The assignment will be 12 months from the start date.
- Extension or Conversion: Yes, based on budget, performance, and/or business needs.
- Overtime Expectations: No.
- Business Travel: No.
Duties:
- Provides administrative support and clerical assistance to executive and director-level management within a company.
- Typically helps schedule and manage the itinerary of an executive, including scheduling meetings, travel and other demands on the executive's time.
- Also perform clerical and office duties; these may include running errands, screening phone calls, supervising clerical assistants and drafting letters and other documentation on behalf of the executive.
- In very large companies, typical to have an entire office administrative support staff typically, in charge of these personnel, supervising their work and making hiring decisions.
- Conduct research, prepare correspondence, expense and statistical reporting.
- Schedule travel, appointments and meetings.
- Supervise clerical staff.
- Screen phone calls, emails, mail and visitors route and resolve information requests.
- Coordinates space and office organization, and special projects.
Skills:
Required:
- Executive Calendar & Schedule Management.
- Advanced Microsoft Office Suite Proficiency.
- Travel Coordination & Expense Management.
- Professional Written & Verbal Communication.
- Staff Oversight & Team Coordination.
- Discretion & Stakeholder Management.
Preferred:
- Project management or coordination experience.
- Budget tracking or financial reporting.
- Familiarity with WD-specific tools (SAP, Workday, ServiceNow).
Education:
- High school diploma or equivalent required.
- Associate's or Bachelor's degree preferred, or equivalent combination of education and experience.
Experience:
- Minimum 5 years of administrative support experience.
- At least 2-3 years supporting executive or director-level management.
