Hybrid role - 3 days Onsite and 2 days Remote

Job Description:

  • This will be 6 months from when the worker starts with potential to extend or convert based on budget, performance, and ongoing need for the role.
  • This worker will be expected to be on the hybrid schedule, 3 days onsite and 2 WFH.
  • Standard 40 hour work week, Mon-Fri.
  • No business travel for this role.
About the Role:
  • The Global Talent Movement, Immigration Specialist supports U.S. immigration operations by coordinating high-volume, day-to-day activities that ensure a consistent and compliant employee experience.
  • This role is execution-focused by serving as a primary point of coordination across internal stakeholders and external partners to keep cases moving forward efficiently and accurately.
  • You will work independently to triage inquiries, track case progress, maintain documentation, ensure timely follow-ups, apply sound judgment to prioritize tasks, and escalate issues as needed.
  • Strong written and verbal communication skills are essential, as you will regularly engage with employees, business stakeholders, and external counsel, providing timely, clear, and professional updates.  
  • Success in this role requires strong attention to detail, the ability to manage competing priorities with minimal oversight, and a proactive, service-oriented mindset.
  • This role is well-suited for someone who is highly organized, comfortable working autonomously in a fast-paced environment, and motivated by delivering reliable, high-quality operational support.
What You'll Do:
  • Manage daily immigration operations, including monitoring shared inboxes, triaging inquiries, and coordinating responses with internal stakeholders and external counsel.
  • Prioritize tasks in a fast-paced environment, while handling multiple competing demands.
  • Track and maintain immigration and travel cases in internal systems, ensuring accurate data, visibility, and timely follow-ups.
  • Prepare and review business communications, employment letters, and immigration documentation; coordinate signatures and ensure timely submission to relevant stakeholders.
  • Support compliance activities, including posting required notices, initiating cases with external counsel, tracking payroll-related updates, and reviewing billing allocations.
  • Assist with reporting, data requests, and ad hoc analyses to support program needs.
  • Maintain organized records and handle confidential documents in accordance with company policies and compliance requirements.
  • Escalate complex or high-priority cases appropriately and collaborate across teams to ensure resolution.
Skills:
  • Required experience: Knowledge of U.S. immigration regulations and practices, preferably someone w/ strong knowledge in this area. 
  • Strong organizational and time management skills with the ability to handle multiple priorities.
  • Excellent communication and interpersonal skills, with proven experience engaging high-level stakeholders in a fast-paced, multicultural environment.
  • Keen attention to detail with the ability to track deadlines, follow up on critical tasks, and maintain comprehensive records.
  • Nice to have: Mastery in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint), SharePoint, Workday, ServiceNow and AI Tools.
Education:    
  • Bachelor's Degree or equivalent experience required.
