Job Description:
- Coordinator level role to provide operational support for payroll tax and garnishment administration.
- With a primary focus on the receipt, sorting, processing, scanning, and forwarding of payroll-related mail.
- Accurate execution of garnishment and tax setup and maintenance activities in accordance with established procedures and applicable regulations.
Scope of Services:
- The contractor will perform defined, process-driven garnishment coordination activities under established payroll procedures and guidelines.
Mail Intake & Distribution:
- Receive, open, sort, and review incoming physical and electronic garnishment and payroll tax correspondence.
- Identify and prioritize time-sensitive documents based on established processing rules.
- Scan, index, and route documents to designated systems, workflows, or payroll partners.
- Forward required correspondence, acknowledgments, and notices to courts, agencies, and internal payroll teams as directed.
- Ensure secure handling and confidentiality of all employee and company documentation.
System Data Entry & Maintenance (SAP):
- Enter new garnishments and updates into the SAP payroll system following standard work instructions.
- Assist with vendor or agency setup requests and Payroll Tax Analyst tasks as required.
- Maintain accurate garnishment records and supporting documentation within the system.
- Assist Payroll Tax Analyst with updates and validation of state unemployment rates and account numbers.
Key Deliverables:
- Timely receipt, sorting, scanning, and routing of payroll mail/correspondence.
- Accurate data entry and maintenance of garnishments in SAP.
- Documented handling of garnishment inquiries and transactions.
- Escalation of exceptions or issues outside standard procedures.
Performance Expectations:
- Mail/correspondence processed promptly in alignment with service timelines.
- High accuracy in data entry and document handling.
- Adherence to established payroll procedures and compliance requirements.
- Professional and timely communication.
- Strict confidentiality of employee and legal information.
Contractor Qualifications:
- Experience handling high volume, time sensitive mail or document processing.
- Working knowledge of wage garnishment concepts and terminology.
- SAP Payroll or comparable payroll system experience preferred.
- Strong attention to detail and ability to follow documented procedures.
Engagement Structure:
- Independent contractor providing coordinator level operational support.
- Work performed according to defined processes and service expectations.
- Term and duration defined per contract or business need.
