Hybrid role - 4 days Onsite and 1 day Remote

Job Description:

  • This role provides execution-focused operational support for centralized Payroll and Timekeeping processes.
  • The position is responsible for completing timekeeping intake corrections, supporting weekly payroll activities, executing check print and mail functions, and performing required payroll controls and audits.
  • The role partners closely with the Payroll Operations team and NBS Manila to ensure payroll is delivered accurately, timely, and in compliance with internal controls.

Primary Responsibilities – Timekeeping & Intake Processing:

  • Process timekeeping intake forms including missed punches, missed pay codes, clock transfers, accrual balance adjustments, and accrual resets.
  • Support termination payouts using the Centralization Database and ensure compliance with state-mandated pay requirements.
  • Review and correct intake submissions prior to payroll cutoffs.

Primary Responsibilities – Weekly Payroll Support:

  • Review missed sign-offs and punches and send missed sign-off notifications.
  • Complete sign-offs past warning thresholds and correct missing punches.
  • Review one-time payroll watch-out checklist.
  • Monitor, respond to, and file Manila payroll checkback emails.
  • Perform post-meeting location balancing reviews.
  • Complete weekly payroll control audits.
  • Complete intake corrections prior to validation processing.
  • Run off-cycle headcount to SAP integrations.
  • Respond to open for validation emails with iView files.
  • Review and file open for validation outputs and emails.

Primary Responsibilities – Printing & Distribution:

  • Execute on-cycle and off-cycle check and advice printing.
  • Run and balance check and advice count reports in SAP.
  • Communicate print instructions and locations with NBS Manila.
  • Maintain daily check stock logs and perform check stock reconciliations.
  • Conduct check stock audits and retain required documentation.
  • Create UPS labels and manage off-cycle payroll mailings.
  • Stuff, sort, and distribute payroll checks and advices.
  • Coordinate mailroom pickup schedules and cutoff timing.

Primary Responsibilities – Mail & Returned Checks:

  • Review returned paychecks using Off-Cycle Workbench.
  • Void and shred returned checks when replacements are issued.
  • File active checks for 30 days and maintain tracking logs.
  • Support fulfillment cases for re-mailing live checks.
  • Route claims repayment checks appropriately.
  • Reprint and re-mail W-2s as required.
  • Shred advices and OT letters in accordance with retention policies.

Controls, Compliance & Documentation:

  • Perform required payroll and check stock control audits.
  • File payroll documentation, validation files, and emails.
  • Ensure documentation retention requirements are met.
  • Handle payroll and HR data with confidentiality and professionalism.

Required Skills & Qualifications:

  • Strong attention to detail and accuracy in deadline-driven environments.
  • Ability to follow defined payroll schedules, cutoffs, and controls.
  • Strong written and verbal communication skills.
  • Ability to manage repetitive operational tasks with consistency and compliance.
  • Ability to work independently and as part of a payroll operations team.

Preferred Experience:

  • SAP payroll experience (administrative access level).
  • UKG Pro / Kronos timekeeping experience.
  • Prior payroll operations or timekeeping support experience.
  • Experience working with offshore or shared service payroll partners.

Education:

  • High school diploma required.
  • Associate or Bachelor’s degree in Business, Accounting, or related field preferred.
