Job Description:

  • The Inventory Specialist will provide administrative and operational support for distribution and inventory-related activities.
  • This role is responsible for maintaining accurate inventory records, supporting order and shipment processing, coordinating with vendors and internal teams, and ensuring efficient distribution operations.
  • The position requires strong organizational skills, attention to detail, customer service capabilities, and proficiency with computer systems and Microsoft Office applications.

Key Responsibilities:

Inventory Management:

  • Monitor and maintain inventory levels to ensure adequate availability of products, materials, and supplies.
  • Maintain accurate inventory records and identify discrepancies or shortages.
  • Perform inventory checks and assist with reconciliation activities.

Order Processing:

  • Receive, review, and process customer and internal orders accurately.
  • Verify product selection, quantities, pricing, and delivery requirements.
  • Ensure orders are processed and fulfilled within established timelines.

Shipment Coordination:

  • Coordinate the preparation and scheduling of shipments with logistics and transportation teams.
  • Ensure appropriate packaging, labeling, and shipping documentation for outgoing materials.
  • Track shipments and address delivery-related issues as needed.

Customer Service:

  • Respond promptly and professionally to customer inquiries regarding orders, deliveries, products, and services.
  • Resolve order and delivery issues and coordinate with internal teams when escalation is required.
  • Maintain a customer-focused approach while supporting distribution operations.

Billing and Reporting:

  • Use spreadsheets and billing systems to report customer charges associated with laboratory services, repairs, and vendor service fees.
  • Maintain accurate billing-related records and supporting documentation.
  • Assist with routine reporting and administrative activities.

Data Analysis and Reporting:

  • Collect and analyze operational data related to inventory, order fulfillment, deliveries, and distribution activities.
  • Prepare reports and provide information that supports operational decision-making.
  • Identify trends and potential opportunities for improving efficiency.

Process Improvement:

  • Identify opportunities to streamline inventory and distribution processes.
  • Support initiatives designed to reduce costs, improve efficiency, and enhance service levels.
  • Collaborate with cross-functional teams to implement process improvements.

Quality Control:

  • Perform quality checks on products, materials, and shipments to ensure compliance with established standards and specifications.
  • Identify discrepancies and coordinate corrective actions when necessary.
  • Documentation and Record Keeping:
  • Maintain accurate records related to inventory, orders, shipments, billing, vendors, and customer interactions.
  • Ensure documentation is complete, accurate, and maintained in accordance with company policies and reporting requirements.

Vendor Relations:

  • Communicate with suppliers and vendors regarding order status, deliveries, and service-related issues.
  • Coordinate delivery schedules and follow up on outstanding orders.
  • Assist with resolving vendor discrepancies and other supply-related concerns.

Training and Onboarding:

  • Assist with training and onboarding new team members on standard operating procedures, software systems, inventory processes, and customer service practices.

Safety and Compliance:

  • Follow established safety procedures when handling materials, products, and equipment.
  • Ensure compliance with applicable company policies, safety requirements, and regulatory guidelines.

Emergency Response:

  • Assist with distribution-related emergency situations, including unexpected shipment delays, product recalls, or supply disruptions.
  • Support efforts to minimize operational disruptions and maintain customer service levels.

Qualifications:

  • High school diploma or equivalent required.
  • Additional coursework or education in Supply Chain Management, Logistics, Business Administration, or a related field is preferred.
  • Previous experience in inventory management, distribution, logistics, warehouse operations, customer service, or administrative support is preferred.
  • Strong verbal and written communication skills.
  • Excellent organizational skills with the ability to manage multiple priorities and deadlines.
  • Basic analytical and problem-solving skills.
  • Strong attention to detail and accuracy.
  • Customer-focused approach with the ability to resolve issues professionally.
  • Proficiency with computers and standard business software.
  • Working knowledge of Microsoft Office applications, particularly Excel, is preferred.
  • Ability to maintain accurate records and handle data responsibly.
  • Ability to work independently as well as collaboratively within a team environment.
