Job Description:

  • Provide expert-level administrative support to multiple professionals, including managers, managing directors, partners, and corporate communications teams.
  • Leverage 5–10 years of administrative experience to ensure seamless daily operations, improve organizational efficiency, and support business priorities.
  • Provide comprehensive administrative and office support while maintaining a high level of professionalism, accuracy, and confidentiality.
  • Independently manage complex calendars, schedules, appointments, and competing priorities for multiple team members, ensuring efficient time management and timely completion of critical tasks.
  • Coordinate and organize high-profile meetings, conferences, and events, including scheduling, logistics, agendas, materials, meal arrangements, and follow-up activities.
  • Support corporate communications teams and senior professionals, client system experience is strongly preferred, as is prior experience supporting a corporate communications function.
  • Prepare, edit, proofread, and review complex documents, reports, presentations, correspondence, emails, and other business materials with exceptional attention to detail.
  • Demonstrate advanced proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook, as well as other relevant business software, databases, spreadsheets, and presentation tools.
  • Conduct detailed research, gather and analyze information, and prepare comprehensive reports and materials to support strategic decision-making and business planning.
  • Handle highly sensitive and confidential information with the utmost discretion, professionalism, and integrity.
  • Track and administer departmental expenses, ensuring accurate reporting and compliance with organizational policies and procedures.
  • Support the tracking and administration of departmental projects, deadlines, activities, and deliverables to ensure timely completion.
  • Serve as a primary point of contact for internal and external stakeholders, providing exceptional communication, coordination, and interpersonal support.
  • Field telephone calls, receive and direct visitors, manage filing and document organization, and perform scanning, copying, and other general office-support activities.
  • Coordinate travel arrangements, including transportation, accommodations, itineraries, and related logistics.
  • Place meal and catering orders and coordinate related arrangements for meetings, events, and team activities.
  • Read, analyze, proofread, and edit documents, emails, presentations, reports, and other business communications for accuracy, clarity, grammar, and formatting.
  • Quickly learn new processes, systems, and responsibilities and adapt effectively to changing business needs.
  • Demonstrate exceptional organizational skills and the ability to independently prioritize and manage a demanding daily workload.
  • Work effectively in a fast-paced, rapidly changing environment while consistently meeting deadlines and maintaining high-quality work.
  • Apply a proactive problem-solving approach and demonstrate sound judgment, strong decision-making skills, and the ability to anticipate administrative needs.
  • Maintain outstanding verbal and written communication skills and interact effectively with diverse internal and external stakeholders at all organizational levels.
  • Demonstrate strong attention to detail, follow-through, reliability, and the ability to manage multiple priorities simultaneously.

Required Qualifications:

  • 5–10 years of administrative or executive support experience.
  • Experience providing administrative support to multiple professionals, including managers, managing directors, partners, or senior-level executives.
  • Strong calendar management, scheduling, travel coordination, meeting planning, and organizational skills.
  • Advanced proficiency in Microsoft Office Suite: Word, Excel, PowerPoint, and Outlook.
  • Strong document preparation, editing, proofreading, and business communication skills.
  • Excellent verbal and written communication and interpersonal skills.
  • Ability to handle confidential and sensitive information with discretion.
  • Strong analytical, organizational, prioritization, and problem-solving abilities.
  • Ability to work independently while effectively supporting a team in a fast-paced environment.
  • Client system experience strongly preferred.
  • Experience supporting a corporate communications team preferred.
