Anticipated Assignment Schedule: 4 days on-site and 1 day remote, 8am-5pm. Candidate must be willing to work on-site 4 days a week.

Below are the preferred and required qualifications

  • Required:
    • 3+ years supporting General Manager/Director-level leaders or above
    • Expert Outlook calendar management
    • Travel and expense management
    • PowerPoint and Excel proficiency
    • Strong executive communication skills
    • Demonstrated discretion with confidential information
  • Highly Preferred:
    • Associate or Bachelor's degree in either Business Administration, Communication, Management, or Office Administration
  • Nice to Have:
    • Certified Administrative Professional (CAP)
    • Professional Administrative Certification of Excellence (PACE)
    • Project Management fundamentals/certification
    • Event Planning certifications (if the role coordinates leadership events)
  • Provide administrative support to executives and senior management.
  • Manage and prioritize complex executive calendars and schedules by independently handling appointments and meetings.
  • Arrange and coordinate travel plans, accommodations, and itineraries.
  • Prepare correspondence, reports, and presentations.
  • Handle confidential information and sensitive documents with discretion.
  • Draft, edit, and proofread executive-level correspondence and reports.
  • Handle confidential and sensitive information with the utmost discretion.
  • Draft, edit, and review executive communications, presentations, and reports.
  • Lead the planning and execution of executive-level events and projects.
  • Lead the planning and execution of high-profile executive events.
  • Oversee executive-level projects, ensuring timely completion.
  • Answer and screen phone calls, emails, and inquiries.
  • Learn and utilize relevant software and tools for administrative tasks.
  • Serve as a point of contact between executives, employees, and external stakeholders.
  • Act as a liaison between executives, internal teams, and external partners.
  • Supervise, mentor, and provide guidance to junior administrative staff.
  • Utilize advanced software and tools for executive support tasks.
  • Stay current on industry trends and emerging executive support technologies.
